Terms and conditions for performers 2024

Sun 13.10.2024 from 11.00 – 17.00

Dismantling: Su 13.10.2024 at 17.00 – 20.00

 

CONDITIONS OF PARTICIPATION

  1. Speakers

These terms of participation apply, in relevant parts, to all participants in the Pagan Festival: lecturers, workshop leaders, artists, exhibition spaces, and others. If necessary, additional clauses agreed upon together may be added to these terms of participation later on.

  1. Program search

To apply to be a Pagan Festival performer, send in the program application form. The agreement confirmed by the organiser is binding on both parties. The organiser will screen all the performers who have submitted an application. The application must include a full description of the programme to be offered. The programme must be compatible with the theme of the event with.

  1. Compensation

Lecturers and artists may be paid a pre-agreed fee for performing. The workshop facilitators will be given access to the premises for the agreed time free of charge, provided that the workshop is free of charge for the customers (a fee for supplies may be charged according to the actual costs). If the workshop is conducted with a fee, the organizer will charge a 20% fee on workshop fees as compensation for the use of the workshop space.

Compensation for other program providers will be agreed upon on a case-by-case basis.

  1. Exhibitor passes

Exhibitor passes will be issued to performers from 15:00 on Friday and from 15:00 on Saturday. 9.00 – 11.00. According to the agreement, you can also get a pass from the festival office about an hour before the performance. Passes are personal and must be displayed prominently throughout the fair. Access authorisations may not be transferred or sold to third parties.

  1. Arrival

Performers must arrive well in advance of their performance. Any presentation materials must be submitted to the organisers by the deadline according to the instructions.

The exhibitions must be fully ready on Saturday 12.10 at 11 am, the opening time of the fest. Exhibitions can be set up from Friday 11.10 at 15.00 at the latest.

  1. Parking

Exhibitors can leave their cars free of charge in the Dipoli car park.

  1. Coffee and lunch

There are several food outlets in the Dipoli, where you can get lunch, coffee, etc. The premises are licensed to serve alcohol.

  1. Accidents, insurance and safety

Exhibitors are responsible for all exhibits, other products, structures, equipment, etc. damage caused by breakage, theft or other damage. The Exhibitor shall be liable for any damage to property or personal injury caused to third parties (customers, exhibitors, Dipole, its equipment, the venue or the organisers) by products, workshop equipment, instruments, other props, structures, equipment, services, etc., in its own stand. It is the performer’s responsibility to take out appropriate insurance. Performers are responsible for the permits and fees related to the use of their products. The organiser will inform the artists of the Teosto copyright compensation number closer to the event.

The organiser is responsible for the general order of the event area. The organiser is not responsible for damage to or loss of performers’ property. The performer must comply with the general laws in force, the instructions and rules issued by the organiser and the Dipoli safety instructions and fire safety instructions. Emergency exits must be kept clear.

If a performer cancels his/her participation less than thirty (30) days before the start of the Pagan fest, the organizer is entitled to send a penalty fee of 1000€.

  1. Force majeure

The organiser has the right to cancel or postpone the event due to force majeure. The organiser is not liable for any delay or damage caused. A force majeure event can be considered an occurrence outside the organizer’s control, which the organizer could not reasonably have considered at the time of contracting, and the consequences of which the organizer could not reasonably have avoided. These obstacles include, but are not limited to, a strike, boycott or other industrial action, fire or governmental decisions or other events that prevent the use of Dipoli or an obstacle faced by a subcontractor.

 

By completing the programme application form, you agree to comply with the above terms and conditions, as well as any specific terms and conditions and other instructions that may be issued to supplement them.

The organiser reserves the right to make changes.

The Finnish language terms of participation will be used as a basis for dealing with possible cases of interpretation.

Pagan Fest 12-13th of October 2024

Building the fest: Friday 11th of October 2024 15.00 – 22.00 o’clock / 3 pm to 10 pm

Saturday 12th of October 2024 09.00 – 11.00 o’clock / 9 am to 11 am

Dismantling: Sunday 13th of October 2024 17.00 – 20.00 o’clock / 5 pm to 8 pm

 

Participation terms

  1. Performers

These participation terms will apply to the Pagan Fest performers as fit: lecturers, workshop hosts, artists, exhibition areas etc. These participation terms will be completed with separately agreed conditions if needed.

  1. Program search

Applicants will apply to perform at the Pagan Festiva by filling out the Program search application. The contract that is confirmed by the organizer will bind both of the parties. Organizer will evaluate all of the performers that have sent an application.

The application must have a specified description of the program that is offered. The program has to be in alignment with the festival’s theme.

  1. Compensation

Lecturers and artists can receive compensation that is agreed on in advance. Workshop hosts may have a space for the agreed workshops for free if the workshop is free for the festival’s customers (a supply payment can be charged based on the actual costs). If the workshop participation includes a fee, the organiser will charge 20% of the charged fees as compensation for using the workshop space.

Compensations for all other programme providers will be agreed upon separately.

  1. Exhibitor passes

Passes for the festival will be handed over to the performers on Friday starting from 15 o’clock / 3 pm and on Saturday from 9 o’clock to 11 o’clock / from 9 am to 11 am. The passes can be handed over also one hour before performing if agreed so. Exhibitor passes are personal and they have to be visible at all times during the festival. Passes cannot be handed over or sold to third parties.

  1. Arrival

The performer must arrive in the area well before their own performing time. Possible presentation materials must be provided based on the instructions before a deadline to the organiser. Event exhibitions must be fully ready by Saturday 12th of October 11 o’clock / 11 am (when the festival opens). Exhibition building can be started on Friday 11th of October at 15 o’clock / 3 pm.

  1. Parking

Exhibitors can park their cars for free at the Dipoli parking area.

  1. Coffee and lunch

Dipoli has several food stations that you may get lunch or coffee from. The spaces have the right to serve alcoholic beverages.

  1. Damages, insurances and safety

Performers themselves will be responsible for all of the damages, thefts or other accidents that may occur to exhibition items, other products, structures, appliances etc. Performers will be responsible for all the material and personal damages that their products, workshop supplies, instruments, other props, structures, appliances, services etc. at their exhibition area may cause to the third parties (customers, exhibitors, Dipoli, their furnishing, event area or organizer). The performer is responsible for getting proper insurance. Performers will take care of any permits or fees related to the usage of their products. Organizers will inform the permit number provided by Teosto closer to the event.

The organizer will be responsible for the general order of the event area. Organizer is not responsible for any damages or disappearance of the performer’s items. Performers must be following the general affecting laws, organizer’s instructions and rules as well as Dipoli’s safety guidelines and fire safety instructions. The emergency exits must be kept clear at all times.

If the performer cancels their performance less than thirty (30) days before the Pagan fest, the organizer has the right to send a 1000 € contractual penalty.

  1. Force majeure

The organizer has the right to cancel the event due to force majeure. The organizer will not be responsible for any delays or damages caused by that. Force majeure can be considered as anything that the organizer has no control over and that the organizer could not have considered within reason when the contract has been agreed upon and the following consequences that the organizer could not avoid within reason. These obstacles include for example strikes, boycotts or any other industrial actions and also fire accidents, decisions of authorities or any other event that prevents the usage of Dipoli or obstacles faced by the subcontractor.

By filling out the application you will agree to follow the terms that have been mentioned above as well as any other additional terms that will be agreed in addition to those and other instructions. The organizer reserves the right to make changes.

Finnish participation terms will be held as a foundation when handling possible cases of interpretation.
